Making meetings and events pay their way

In a great many hotels, the meetings and events operation is treated as a favour to the rooms business — space that gets sold when someone asks, at a price that gets quoted from memory, delivered by a team already stretched by everything else. Run that way, it is a distraction. Run properly, it is one of the highest-margin things a hotel does.

The three things that change the economics

Pricing is the first, and the most neglected. Function space is a perishable, finite inventory exactly like a bedroom, and it should be priced like one — by demand, by day, by season, by what else the date could hold. A flat day-delegate rate quoted year-round leaves the busiest dates badly under-sold.

Conversion is the second. Enquiries are the lifeblood of the events business and they go cold fast. A hotel that responds within the hour, with a clear and confident proposal, wins business that a hotel replying next day never sees. Most lost events are not lost on price. They are lost on silence.

Yield across the whole booking is the third. The room hire is rarely where the money is. It is in the catering, the drinks, the accommodation the delegates need, the AV, the follow-on business a well-run event brings. Managing the total value of a booking — not just the headline hire fee — is what separates a function diary that looks busy from one that is actually profitable.

A full events diary is not the same as a profitable one. Busy and profitable are two different sheets, and plenty of hotels confuse them.

Why it is worth the discipline

Events revenue is also some of the most resilient a hotel has. Corporate meetings, weddings, celebrations and awards do not stop when leisure travel softens, and they book ahead, giving the business visibility that transient rooms rarely offer. For an independent hotel looking to protect itself against a soft season, a well-run events operation is not a side line. It is insurance with a margin attached.
