How Montrent Hospitality Ltd collects, uses and protects your personal data, and the rights you have over it.
Before publishing. Every highlighted value below must be replaced with real information, and this document should be reviewed by a solicitor. Publishing a privacy notice with placeholder details is worse than having none — it is a representation to the public and to the ICO.
1. Who we are
Montrent Hospitality Ltd (“we”, “us”, “our”) is the data controller for the personal data described in this notice. That means we decide why and how your personal data is processed.

We have not appointed a Data Protection Officer, as we are not required to under Article 37 of the UK GDPR. Data protection queries should be sent to the email address above.
2. What personal data we collect
We only collect what we need. Depending on how you interact with us, that may include:
- Enquiry data — the name, company, telephone number, email address and message you submit through the contact form on this website. Name, email and message are required; company and telephone are optional.
- Correspondence data — the content of emails, calls and meetings where you contact us directly or we work together.
- Client and supplier data — where we deliver consultancy, hotel management or event services, the business contact details of the people we work with, and information necessary to perform the engagement.
- Technical data — see section 9 on cookies and analytics.
We do not knowingly collect special category data (such as health, ethnicity or religious belief) through this website, and ask that you do not include it in the contact form.
3. Why we use it, and our lawful basis
The UK GDPR requires us to have a lawful basis for each purpose. Ours are set out below.

Where we rely on legitimate interests, we have considered whether our interest is overridden by your rights. We think replying to an enquiry you chose to send is what you would reasonably expect. You can object at any time — see section 7.
4. Who we share it with
We do not sell your personal data, and we do not share it for anyone else’s marketing. We share it only with:
- Service providers who process data on our behalf, under written contracts that oblige them to protect it and act only on our instructions. These currently include our website host (Netlify, Inc.), our contact form provider (Web3Forms) and our email provider (EMAIL PROVIDER).
- Professional advisers — accountants, insurers and lawyers, where necessary.
- Authorities — where we are legally required to disclose, for example to HMRC or in response to a valid court order.
5. Transfers outside the UK
Some of our providers are based outside the UK. Where personal data is transferred internationally, we rely on one of the safeguards permitted by Article 46 of the UK GDPR — normally UK adequacy regulations, or the International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses.

6. How long we keep it
We do not keep personal data longer than we need it.

7. Your rights
Under the UK GDPR you have the right to:
- Be informed about how we use your data — that is what this notice is for.
- Access a copy of the personal data we hold about you.
- Rectification — have inaccurate data corrected or incomplete data completed.
- Erasure — ask us to delete your data, where there is no overriding reason to keep it.
- Restrict processing — ask us to pause using your data while a concern is resolved.
- Data portability — receive data you gave us in a machine-readable format.
- Object to processing based on legitimate interests, and to direct marketing at any time. An objection to marketing is always honoured.
- Withdraw consent at any time, where consent is our basis. Withdrawing does not affect processing already carried out.
- Not be subject to automated decision-making that has a legal or similarly significant effect. We do not carry out any such automated decision-making or profiling.
To exercise any of these, email info@montrenthospitality.com. We will respond within one month. There is no charge, and we may ask you to confirm your identity before we act.
8. Complaints
If you are unhappy with how we have handled your personal data, please tell us first at info@montrenthospitality.com — most issues are resolved quickly.

10. Security
This website is served over HTTPS. Enquiries submitted through the contact form are transmitted over an encrypted connection. Access to the mailbox receiving enquiries is restricted to those who need it and protected by multi-factor authentication.
No transmission over the internet is ever completely secure. If you need to send us something genuinely sensitive, contact us first and we will agree a safer route.
11. Changes to this notice
We review this notice periodically. The date at the top shows when it was last changed. Where a change materially affects how we use your data, we will take reasonable steps to tell you.
